AI agents for staffing agencies and HR teams
In a temporary staffing agency or an HR team, an AI agent reads applications and fills in candidate records, writes up the notes a consultant dictates after an interview, prepares documents and suggests a rota. For cover, it finds the available people according to the criteria set by the consultant, and the consultant makes the choice.

Tasks that take time in staffing and HR
-
Keying in applications
Every CV arrives in a different format, by email, through a job board or at the front desk. All of it has to be read and copied into a record before the real work can begin.
-
Interview write-ups
The consultant leaves one interview and walks into the next. The notes stay in a notebook, the candidate record is left incomplete, and the colleague who picks up the file starts from scratch.
-
Contracts and paperwork
For each assignment, the same details go into the contract, the onboarding documents and the messages to the client company. One copying mistake means redoing the document.
-
Rotas and last-minute cover
Someone calls in absent that same morning. You have to work out who is free and who holds the required qualification, then phone round, while the client waits.
What an agent takes on
-
It reads applications and fills in the records
The agent reads each application and copies what it contains into the record, such as experience, qualifications and availability. It flags what is missing.
-
You dictate the interview, it writes it up
After an interview, the consultant tells the agent what they took from it. The agent writes the notes and suggests the update to the record. It is set up to use the consultant's own words, without adding any assessment of its own.
-
It prepares the documents
Working from the record and the client's request, the agent fills in your contract and document templates. A person reads and approves them before anything is signed or sent.
-
It suggests a rota or someone to cover
When someone is absent, the agent finds the available people according to the criteria you have set, such as qualification and working hours, and shows them to you. The consultant chooses and makes the call.
Typical example
A typical scenario: an absence reported in the morning
The context
Take a staffing agency whose consultants see candidates all day. Records get completed when there is time left over, and urgent cover is sorted out from memory and over the phone.
What we would put in place
An agent would be connected to the mailbox, the applicant tracking software and the rota. It would fill in records from incoming applications and write up the notes dictated after interviews. When an absence is reported, it would show the consultant the available people who match the request, and prepare the contract. The consultant would choose, make the call and approve the documents.
The tools an agent can be connected to, where they allow it

- Rota and scheduling software
- Email and calendar

AI for recruitment, where it actually helps
A staffing consultant or an HR manager is there to meet people and understand what a business needs. Keying in CVs, completing records, preparing contracts and redoing rotas still takes up a large part of the day.
A custom AI agent takes on that preparation. It reads, copies, formats and drafts routine replies to candidates. After an interview, the consultant can dictate notes to a voice agent, which files them in the right record.
A clear line on decisions
The agent prepares information: it reads CVs, fills in records and finds the available people according to your criteria. The consultant makes the choice, and every decision about a candidate is made by a human.
In practice, the agent copies into the record what the candidate wrote and what the consultant dictated. When it suggests someone to cover a shift, it applies criteria that you have set and can read, then leaves the choice to you. We write those rules down with you before the agent goes live.
AI for staffing agencies and smaller HR teams
Follow-up that comes round every week, such as chasing documents or end-of-assignment reminders, is a matter of process automation. AI training then helps your teams use the agent and understand its limits.
It all starts with an AI audit, from €800 excl. VAT. We spend time with your consultants, find the tasks that cost the most and tell you which ones to hand to an agent. The go-live timetable depends on the scope; it is agreed with you after the audit.
Frequently asked questions
Does the agent choose candidates?
No. The agent reads CVs, fills in records and, for cover, finds the available people according to the criteria you have set. The consultant makes the choice, and every decision about a candidate is made by someone on your team.
Does the agent reply to candidates itself?
It drafts routine replies, such as an acknowledgement or a request for a missing document, and you decide what goes out. Any reply about the outcome of an application is always decided by a person.
Is this suitable for a small business with no HR team?
Yes. In a small business, recruitment and staff admin often fall to one or two people who have other duties. The agent plugs into the tools already in place, however simple, and the audit shows what is worth automating.
What happens to candidates' data?
We do not resell your data and we do not use it to train models. We sign a data processing agreement and tell you, before we start, where it is hosted and which services it passes through.
Where do we start, and what does it cost?
With an AI audit, from €800 excl. VAT. We use it to find the tasks that take up most of your teams' time and to quote for what comes next. The go-live timetable depends on the scope; it is agreed with you after the audit.
