AI for real estate agencies and property management
In a real estate agency or a property management firm, an AI agent takes on the writing that follows the fieldwork. It turns what you dictate after a viewing, and the photos or video of a property, into a viewing report, a draft inventory or an updated file. It also drafts replies and reminders, which your team approves before anything is sent.

Tasks that take time in an agency or a property management firm
-
Viewing reports and listings
After each viewing, someone has to note how the prospective buyer or tenant reacted, update the owner and complete the property record. The listing itself often gets written at the end of the day.
-
Letting and sales files
Collecting the documents, spotting the one that is missing, asking for it again, then doing the same the following week. The file moves at the pace of the reminders.
-
Inventories and condition reports
A set of photos and room-by-room notes that have to be put in order back at the office, so that both parties can read the same document.
-
Incoming enquiries and repair follow-up
Applicants, tenants, co-owners and contractors write or call. Each of them expects an answer and wants to know where their request stands.
What an agent takes on
-
It writes from what you dictate
On your way out of a viewing, you tell the agent what happened. It writes the report for the owner, completes the property record and suggests listing copy for you to review.
-
It keeps the file current
The agent files the documents received, flags the ones that are missing and drafts the reminder. You can see where each file stands without reopening every email.
-
It turns photos and video into a report
You photograph or film the property room by room, describing what you see. The agent produces a structured draft inventory, which you review and correct before it is signed.
-
It drafts replies and tracks repairs
The agent sorts the enquiries, drafts a reply from the file and logs each repair to follow up. By default, no written message leaves without approval from someone on your team.
Typical example
From viewing to report, a typical scenario
The context
Take an agency that handles sales, lettings and a handful of co-owned buildings. Staff do viewings back to back during the day and write them up later, from memory. Owners wait for news and property records are not always up to date.
What we would put in place
With an AI agent, each viewing would end with a short dictation before driving off. The agent would write the report, complete the record in the agency's software and draft the message to the owner. The staff member would review it, correct it where needed and send it personally.
The tools an agent can be connected to, where they allow it
- Real estate management software
- Property management software
- CRM
- Google or Microsoft email and calendar
- Telephony
- Document and photo storage
- Listing publication tool
The job happens in the field, the writing comes afterwards
A real estate agency or a property management firm runs on viewings, appointments and calls. Yet each of them leaves something to write: a report for the owner, a record to complete, a file to chase, an inventory to tidy up. That work gets done at the end of the day or between two appointments, and it is the part that falls behind.
A custom AI agent starts from what you already do. You talk, you take photos, you film. The agent writes, files and prepares.
Agencies and property managers: different days, the same need
For an agency, what matters is responsiveness: answering an applicant, keeping the owner informed, publishing a decent listing without giving up an evening to it. For a property manager, what matters is follow-up: a co-owner’s request must not get lost, and every repair should be traceable from the first report to the contractor’s visit.
In both cases the agent works inside your software, through tool integration. If many requests come in by phone, a voice agent can take the message and log the request in the right place.
A concrete example: Nazra, for the paperwork after a property visit
Maya.gent has also built a product for building inspection: Nazra, the AI that drafts building inspection reports (in French). The inspector films and describes the visit, Nazra prepares the report, then the inspector checks and signs it. Nazra is available today for EPB certificates (PEB) in Wallonia. Check-in and check-out inventories are in preparation.
The agent prepares, you approve
A report sent to an owner, a reply to an applicant, an inventory: each of these documents commits your agency. The agent prepares them. Someone on your team reads them and decides to send them.
We always start with an AI audit, from €800 excl. VAT. We spend time with your teams to find the tasks where an agent is genuinely useful, and the ones where it is not. You then decide on solid ground.
Frequently asked questions
Can the agent write an inventory from photos?
It prepares a draft inventory from your photos, your video and your spoken comments. You remain the author of the document. You review it, correct it and you are the one who has it signed.
Do we need to change our real estate software?
In principle, no. The agent plugs into the tools you already use. If one of them cannot be connected, we tell you during the audit, before any development starts.
Does the agent reply to applicants and co-owners on its own?
No. It drafts the reply from the file and submits it to you. Anything that commits your agency, such as a message to a client or a co-owner, is approved by a person before it is sent.
What happens to our clients' data?
We do not resell your data and we do not use it to train models. We sign a data processing agreement and tell you, before we start, where it is hosted and which services it passes through.
Where do we start, and what does it cost?
With an AI audit, from €800 excl. VAT. It identifies the tasks where an agent is genuinely useful in your agency. The agent itself is quoted afterwards. The go-live timetable depends on the scope; it is agreed with you after the audit.
