AI agents for brokers, from meeting notes to renewal tracking
For a broker, an AI agent takes on the admin that follows every client meeting. It writes up the notes you dictate, reads the documents you receive, updates the file and prepares quotes and reminders. It prepares, you approve, and the advice given to the client remains yours.

Tasks that take time in a brokerage
-
Writing up every client meeting
After a meeting, someone has to record what was said, what the client wants and what was agreed. It often waits until the end of the day, when the details are already fading.
-
Keeping the file and the CRM current
Information comes in by email, by phone and on paper. Someone has to copy it into the client record, then a second time into the management software.
-
Comparing and preparing quotes
You gather the client's details, key them into each pricing tool and line the proposals up side by side. That is a lot of preparation before any advising can start.
-
Renewals, reminders and missing documents
A renewal is coming up, a document has not come back, a quote is waiting for an answer. Follow-up depends on people's memory and on lists kept by hand.
What an agent takes on
-
You dictate, the agent writes
On your way out of the meeting, you tell the agent what happened. It turns that into structured notes, which you read and correct before they are filed.
-
It reads documents and fills in the file
The agent reads the documents you receive, pulls out the relevant details and suggests the update to the client record and the CRM. You approve what gets saved.
-
It prepares the quotes, you give the advice
Working from the file, the agent gathers the details needed and sets out, in a comparison table, the proposals you have obtained. It is not designed to recommend. What you put in front of the client, and the advice you give, remain yours.
-
It watches the dates and drafts the reminders
The agent flags upcoming renewals and missing documents, then drafts the reminder and document-request emails. You decide what goes out.
Typical example
A typical scenario: from the meeting to a complete file
The context
Take a brokerage with a handful of staff. The brokers see clients back to back during the day and write their notes in the evening. Documents requested from clients trickle in, and renewals are tracked in a spreadsheet that people update when they remember to.
What we would put in place
An agent would be connected to the mailbox, the CRM and the management software. After each meeting, the broker would dictate the notes. The agent would update the file, prepare the comparison and the document requests, then flag the renewals coming up. The broker would read, correct and decide what is sent.
The tools an agent can be connected to, where they allow it
- Portfolio management software
- CRM
- Email and calendar
- Comparison and pricing tools
- Shared folders
- Electronic signature
AI for brokers, on the admin side
Whether they work in insurance, credit or energy, brokers earn their living from two things: time spent with clients and the quality of their advice. Yet much of the week goes elsewhere, into meeting notes, retyping, comparisons and reminders.
A custom AI agent handles that part. It is built around the way you work and connected to the tools your firm already uses. If you would rather talk than type, a voice agent turns what you dictate into meeting notes and a suggested update to the file.
What the agent does not do
The agent prepares. It does not advise and it does not decide. It does not judge what suits a client, it does not choose a quote for them, and it sends nothing that commits your firm unless a person has approved it.
The advice remains the broker’s, and your professional obligations remain your own. The agent helps you keep complete, up-to-date files. It does not carry those obligations for you.
AI for brokerage firms, without changing your tools
We do not replace your management software. We connect the agent to it, and to your mailbox and CRM. That is what tool integration covers. Recurring follow-up, such as renewal reminders or document requests, is a matter of process automation.
It all starts with an AI audit, from €800 excl. VAT. We spend time with your team, find the tasks that cost the most and tell you which ones are worth handing to an agent. The go-live timetable depends on the scope; it is agreed with you after the audit.
Frequently asked questions
Does the agent advise my clients?
No. The agent prepares the file, the comparison and the correspondence. It does not assess what suits a client and does not pick a quote on their behalf. Advice is given by the broker, who remains responsible for it.
Do we need to change our brokerage software?
In principle, no. The agent plugs into the tools your firm already uses. If one of them cannot be connected, we tell you during the audit, before any development starts.
What happens to our clients' data?
We do not resell your data and we do not use it to train models. We sign a data processing agreement and tell you, before we start, where it is hosted and which services it passes through.
Will the agent replace my account handlers?
No. It takes over the retyping, the formatting and the reminders. Your account handlers keep control of the files, the client relationship and the unusual cases.
Where do we start, and what does it cost?
With an AI audit, from €800 excl. VAT. We use it to find the tasks that cost your firm the most and to quote for what comes next. The go-live timetable depends on the scope; it is agreed with you after the audit.
