Automate the admin tasks that come back every week

Process automation hands the admin tasks that repeat every week to an AI agent, such as invoice processing, re-keying between tools, reporting and reminders. The agent reads the documents, extracts the relevant information and records it in the right place. Your teams check the result and handle the exceptions.

The same work comes back every week

  • Invoices keyed in by hand

Each incoming document is opened, read and copied line by line into the management or accounting tool.

  • One piece of information, copied from tool to tool

What arrives in an email still has to be entered in the CRM, then in a spreadsheet, then in a report.

  • Reports rebuilt from scratch each time

The same figures are gathered from the same sources at the end of every week or month.

  • Reminders and filing that fall behind

When the workload rises, chasing replies and filing documents are the first things to be pushed back.

The tasks that come back every week

In a small or medium-sized business, part of the admin work is repetitive: above all, it calls for time. Opening an invoice, copying an amount, updating a spreadsheet, sending a reminder, filing a document: the same steps are repeated, week after week.

Process automation means handing those steps to an AI agent. Your teams stay responsible for the outcome. They simply stop doing all of it by hand.

What the agent takes on

Here are some processes that lend themselves to it:

  • Invoices and incoming documents: reading them, extracting the relevant information and recording it in the right place.
  • Data entry and re-keying of the same information across several tools.
  • Recurring reports, prepared from your usual sources.
  • Reminders, prepared when they fall due and sent according to your rules.
  • Filing documents in the right folders.

Written rules, human checks

Every automation rests on rules agreed with you. They state what the agent does on its own and what it submits for approval. Your teams check the result and take over the exceptions, the cases that fall outside what was planned.

For anything that commits your company, such as an accounting entry or a payment, human approval remains the default.

Why start with an audit

Not every repetitive task is worth automating. Some come up too rarely, others depend on a tool that is hard to connect. The audit, offered from €800 excl. VAT, looks at each task with the people who do it and points to the ones to start with. You then decide on a concrete basis, before any development begins.

How an engagement works

  1. Audit of repetitive tasks

We sit with your teams to see what comes back every week and how long it takes. You receive a roadmap that ranks the tasks to automate in order of priority.

  2. Rules agreed with you

For each automation we write down what the agent does on its own and what it submits to you. By default, an accounting entry or a payment goes through human approval.

  3. Connection to your tools

The agent works inside what you already use, for example Google, Microsoft, Odoo, Salesforce or HubSpot. Your teams keep their habits.

  4. Go-live and adjustments

We start with one process, using your real documents. We refine the rules based on the exceptions your teams come across.

Typical example

A typical scenario: supplier invoices

The context

Take a firm where one person receives supplier invoices by email, opens them one by one, copies the amounts and references into the accounting tool, then files each document in the right folder.

What we would put in place

An agent would read each invoice as it arrives, extract the relevant information and prepare the entry in the accounting tool. The person would check the proposal, approve it and deal personally only with the exceptions, such as an incomplete invoice or an unknown supplier.

What you receive

  • Working automations, connected to your tools and tested on your own documents
  • The written rules for each automation, stating what the agent does alone and what it submits to you
  • Training for your teams on checking results and handling exceptions
  • Follow-up after go-live to fit the rules to how you actually work

Frequently asked questions

What is the difference between traditional automation and an AI agent?

Traditional automation follows fixed rules, so it can stop working when a document changes shape, for example when a supplier redesigns its invoices. An AI agent works from what the document says, so it can find the information even when it has moved. It can also make mistakes, which is why your teams check the result.

Which tasks can be automated?

Those that repeat and follow a stable logic, such as processing invoices and incoming documents, re-keying between tools, reporting, reminders and filing. The audit checks which of them are worth automating in your company.

Can the agent approve a payment or an accounting entry on its own?

No, unless you decide it should. For anything that commits your company, human approval remains the rule. The agent prepares the work and your teams confirm it.

Do we need to change our software?

In principle, no. The agent connects to the tools you already have. If one of them cannot be connected, we tell you during the audit, before any development starts.

What happens to our documents and data?

We do not resell your data and we do not use it to train models. We sign a data processing agreement and tell you, before we start, where it is hosted and which services it passes through.

How much does it cost to automate a process?

The price depends on the number of processes and tools involved. It is quoted after the audit, which is the starting point of every engagement and is offered from €800 excl. VAT.
