Voice agents that write up and file what you say
An AI voice agent is an assistant your teams talk to. After a meeting, a site visit or a call, your colleague says what happened. The agent writes the notes, updates the record or the CRM and schedules the follow-up.

What is said out loud gets lost
-
Notes put off until later
One meeting ends and the next begins. The write-up waits until the evening or the end of the week, when the details have already faded.
-
A half-filled CRM
Logging a visit or a call takes time. Records stay incomplete and the information stays in the head of whoever was in the room.
-
Forgotten follow-ups
A promise made on the phone is written down nowhere. Nobody calls back, and the client waits.
-
An adviser left alone during the call
Faced with a specific question, they have to search several tools for the answer while the caller holds.
Talking instead of typing
In many lines of work, the important part happens out loud: a meeting, a site visit, a call. What is said then has to be written down, filed and followed up. That is where time runs short.
A voice agent starts from that fact. Your colleague describes what happened, in their own words. The agent writes the notes, updates the record or the CRM and schedules the follow-up.
What a voice agent can take off your hands
We design the agent around the situations your teams deal with every day:
- Dictated notes after a meeting, a visit or a call, written in your template.
- Record and CRM updates based on what was said.
- The follow-up, scheduled at the moment it is promised.
- Help during the call: the agent listens and suggests an answer to the adviser, live.
- A spoken report: the agent tells you what it has done and what is waiting for approval.
It plugs into your existing tools, for example Google, Microsoft, Odoo, Salesforce or HubSpot.
Clear rules for voice
Voice needs firm rules. Listening to or transcribing a call means, at the very least, informing the people on it and complying with the GDPR and the rules specific to communications. We prepare those rules with you; they are to be approved by your data protection officer or your adviser before go-live.
During a call, the agent suggests and the adviser answers. After the call, you choose what the agent records on its own and what it submits to you. For anything addressed to a client, human approval remains the default.
Why start with an audit
Not every conversation needs a voice agent. The audit is there to sort them: we observe your meetings and calls, find where information goes missing, and check that your tools can be connected. You know which situations to handle first, and under which rules, before any development starts. The audit starts from €800 excl. VAT.
How an engagement works
-
On-site audit
We sit in on your teams' meetings and calls to see where spoken information goes missing. You receive a roadmap that names the situations to tackle first.
-
Voice agent design
Together we define what the agent writes, what it records on its own and what it submits to you. The rules for listening to and transcribing calls are set at this stage.
-
Connection to your tools
The agent is plugged into what you already use, for example Google, Microsoft, Odoo, Salesforce or HubSpot. The notes land where your teams look for them.
-
Go-live and adjustments
A first team uses the agent on its real meetings. We train the users and correct the vocabulary, the templates and the rules during the agreed follow-up period, so that it becomes part of the routine.

Visit notes dictated on the way out of the appointment
The context
Take a real estate agency whose agents go from one viewing to the next. Between appointments nobody has time to open the CRM, so the notes are written in the evening, from memory.
What we would put in place
On leaving the viewing, the real estate agent would say what was discussed. The voice agent would write the notes, update the property record and the record of the prospective buyer or tenant, then schedule the follow-up. It would then say out loud what it has done and what is waiting for approval.
What you receive
- A working voice agent, connected to your tools and tested on your real situations
- Note templates fitted to your line of work and your vocabulary
- Written rules for listening and transcription, including what to tell the people you speak to
- Training for your teams and close follow-up after go-live
Frequently asked questions
How is this different from a dictation or transcription tool?
A dictation tool turns speech into text. A voice agent goes further, according to your rules. It writes the notes in your template, updates the record or the CRM and schedules the follow-up.
Do we have to tell people their call is being listened to or transcribed?
Yes. Listening to or transcribing a call means, at the very least, informing the people on it and complying with the GDPR and the rules specific to communications. We prepare those rules with you; they are to be approved by your data protection officer or your adviser before go-live. If you would rather not listen to calls, the agent can work only from what your colleague dictates afterwards.
Does the agent act without approval?
You decide, task by task. The agent can file an internal note on its own and submit anything addressed to a client for your approval. It tells you out loud what it has done and what is waiting for you.
What happens to our data?
We do not resell your data and we do not use it to train models. We sign a data processing agreement and tell you, before we start, where it is hosted and which services it passes through.
How much does a voice agent cost?
The price depends on the situations to cover and the tools to connect. It is quoted after the audit, which starts from €800 excl. VAT and is the starting point of every engagement.
